Privacy and Data Protection

How we collect, use and look after your information.

This privacy policy explains how The Refillable Candle Company (referred to as “we”, “us” or “our”) collects, uses and protects any information you give us when you place an order, sign up to our emails or use our website.

We're committed to protecting your privacy and personal data. We will never sell or rent your information, and we'll only use it in the ways set out in this policy.

When you place an order

When you order from us, we collect the information needed to process and deliver your order, including:

Your first and last name
Your company name, if applicable
Your billing address and postcode
Your email address
Your phone number

If your delivery address is different, we'll also collect the shipping address, postcode and recipient name.

When you make a payment

You can pay using PayPal or a credit or debit card. Payments are processed by secure, established payment providers who operate their own privacy policies:

We don't store or have access to your full payment details.

When you start a subscription

Our subscriptions are managed through Seal Subscriptions, a Shopify app. We use your details to take your payments, send your boxes and manage any changes you ask for.

When you create an account

You can place an order without creating an account. If you choose to register, we don't ask for any extra personal information. An account simply lets you log in and have your details filled in for future orders.

When you sign up to our emails

You can sign up to our emails in a few places on our website, for example our pop ups, our waitlist, and the “Tell me when it's back” box on sold out products. When you do, we collect your email address (and sometimes your name) so we can send you news, offers, restocks and product launches. You can also choose to share your birthday (and we might send you a little treat).

We note where you signed up and what you were interested in, for example which product you'd like to know is back in stock. This helps us only send you emails that are relevant to you.

When you visit our website

We use cookies to understand how people use our website so we can improve it. You can read more in our Cookie Policy.

Why we collect this data

We collect personal data so we can:

Process and deliver your orders and subscription boxes
Talk to you about your purchase
Help if something goes wrong
Send you our emails, if you have signed up to them

We won't use your personal data for any other purpose without your permission, unless we're legally required to, for example to comply with a court order or to help prevent fraud.

How long we keep your data

Orders and payments: kept for as long as the law requires for tax and accounting records (currently six years)
Customer accounts: kept until you ask us to delete your account
Email sign ups: kept until you unsubscribe

How we keep your data safe

We have appropriate physical, electronic and managerial measures in place to protect your information, and to make sure it's stored and deleted securely.

Your rights

Your data belongs to you. You have the right to:

Ask for a copy of the personal data we hold about you
Ask us to correct anything that's wrong
Ask us to delete your personal data

Unsubscribing

You can unsubscribe from our emails at any time by clicking the “unsubscribe” link at the bottom of any email we send, or by emailing us at info@therefillablecandleco.co.uk.

Changes to this policy

We may update this policy from time to time. Any changes apply straight away. If an update significantly changes how your personal data is used, we'll take reasonable steps to let you know.
